Accommodation and accounts
1. A resident must be a university student or an intern engaged in full-time study or in a programme of professional work placement or internship, leading to a degree or professional qualification.
2. Residents will reside in the room allocated to them. They cannot make arrangements with other residents to exchange rooms. Any change of accommodation must be done via the Accommodation department.
3. Residents are allowed to have a guest in their room for a maximum of two nights at any one time. Residents must advise the Accommodation Office prior to the arrival date of their guest(s). The maximum number of guests is two at any one time. The roommate(s) must agree to having the guest in the room in the case of shared occupancy and give written permission. Short stay rooms are available for guests and can be booked via the accommodation office. Failure to adhere will result in disciplinary action.
4. Residents are personally responsible for the conduct of any guests and are liable for any damage they might cause. All guests must be signed in and out of the building. Residents will be charged for guests not signed in on entry or out on departure. The Dean retains the right to require a guest to leave at any time.
5. Payment for each term’s accommodation must be paid on arrival or at the beginning of each term, unless the Dean has given prior permission for an alternative method of payment. Payment for vacation periods must be paid for prior to the end of the current term.
6. Late settlement of any account will result in an immediate surcharge of £15.00 for each seven-day period that the account is outstanding unless prior permission has been requested in writing and such permission has been granted by the Dean.
7. A deposit of £450.00 is payable on acceptance of any offer of accommodation. This deposit is refunded to the resident after departure, providing that all financial commitments towards ISH have been met. The deposit may be retained in the event of a resident departing the residence without the required notice, or any damage found to have been done to the room whilst occupied by the student and not reported. Should part of the deposit be levied for any reason during the year, the student is required to replace the charge incurred.
Smoking and damages
8. All rooms are fitted with smoke detectors. Covering up or tampering with the smoke heads can endanger the lives of all residents. Anyone found to have covered or tampered with the smoke heads, fire extinguishers or other fire safety equipment may be dismissed from ISH. ISH reserves the right to fine any resident who regularly sets off the smoke detectors due to their inconsiderate behaviour.
9. From 1 July 2007 it will be illegal to smoke in ANY areas of the house. Any resident found smoking will face disciplinary action and could be prosecuted and fined £50 by the Courts. Provision has been made for designated smoking areas outside of each residence.
10. Residents are responsible for the contents, fixtures and fittings of their room. All problems with the accommodation must be reported upon arrival. If it is found later in the term that there has been any damage to the contents, fixtures or fittings the student will be liable for any replacement, repair or cleaning costs. This will be charged against the security deposit and will need to be paid within two weeks of being charged.
11. An inventory for your room is also attached to this document, please complete and return to the Dean/Director of Students Services within one week of arrival. It also shows a list of standard charges to repair any damaged items.
12. Residents shall notify the accounts office or front desk of any damage, breakage or repairs necessary within their room to the reception desk promptly. Residents will be required to pay for any damage for which they are deemed responsible. In the case of shared rooms, if no individual admits responsibility, costs will be shared between all students in the room.
13. Any heat generating devices or cooking appliances are expressly forbidden in the bedrooms, e.g. microwaves, small hob stoves, etc. ISH reserves the right to confiscate such items which will only be returned upon departure. Hairdryers and kettles are permitted.
14. ISH reserves the right for authorised members of staff or its nominated representatives to inspect accommodation as necessary to affect any repairs, undertake any maintenance and any other reason deemed necessary. Where possible notice will be given for any maintenance work.
Cleaning
15. Each student will receive a linen pack upon arrival. The pack will contain a standard single size sheet, a standard single size duvet cover and a standard size pillow case. Students are responsible for laundering their own linen. Students may purchase the full linen change service at a cost of £8 per week. This can be arranged via the reception desk and must be booked on a termly basis.
16. Bedrooms will be vacuumed and rubbish bins emptied on a weekly basis. See the schedule on notice boards on your floor for the relevant day. If additional emptying of rubbish bins is required then students are requested to leave their bins outside of their rooms between the hours of 9am to 11.30am, Monday to Friday. Bins will be emptied and placed back inside the bedroom doors. Where bedrooms have en-suite facilities the bathrooms will be cleaned by the housekeeping staff once a week
Dean of Student Services
17. Residents must inform the Dean of any change of address of their next of kin or emergency contact information.
18. All residents must register with the Dean, within seven days of arriving at International Students House, either at the appointed sessions during orientation or by making an appointment to see the Dean. Prior to registering with the Dean all residents must have read and signed this document.
Security
19. A charge will be made for any lost, stolen or damaged keys, (£15.00).
20. If a resident locks themselves out of their room more than three times in one month, and the Duty Manager has to let them into their room, a charge of £15 will be levied for the inconvenience.
21. For your safety all residents should ensure that the door to their bedroom, the resident’s entrance and the main front door are closed behind them on entering or leaving both buildings.
22. All ISH buildings are covered by CCTV with digital recording. This information will be used for investigating any activity which may jeopardise the safety and security of the House or the residents.
Holiday Charges
23. If you would like to vacate your room over the Christmas/New Year period, this may be possible and has to be arranged in advance, providing it is between the vacation dates given at the bottom of this contract. ISH will endeavour to try and sell this space. If the bed is empty and ISH has not been able to sell the bed, then the empty nights are chargeable. ISH will reimburse the student for any nights that have been sold, when they return at the start of the January term. For this concession rooms must be totally vacated i.e. emptied of all personal belongings. ISH will require departure and return dates in writing which should be given to the accommodation office.
24. During the summer vacation there are a limited number of places for residents who have valid academic reasons for staying in London. Residents wishing to avail themselves of accommodation should apply, in writing, to the Dean of Students. Applying for a place does not guarantee a place and the space offered is unlikely to be your term time room. Residents who are successful in gaining a room over the summer must pay for their accommodation costs for the period when the room is offered, prior to moving in. Students will be charged an enhanced rate for the summer.
25. All communications with the Accommodation office must be confirmed in writing.
Notice and departure
26. Residents shall give one terms notice (3 months) of departure in writing, failure to do so may result in the loss of the resident’s security deposit. If a resident wishes to leave without the required notification the Admissions Committee will try to find a substitute and the resident may be charged for those nights that the room is not occupied. Exceptions are granted in exceptional circumstances by the Dean, if requested in writing.
27. On departure from ISH residents must quit their room and checkout at GPS Reception by 10 a.m. Residents will be given a departure form mid-way through each term; residents must depart by the date they give on that form. Failure to do so will result in a cost being charged against their security deposit, which will have to be repaid before checking in.
28. If the resident has a phone line they will be responsible for all calls made on their pin number/room number.
29. Where Internet access has been purchased, it is subject to the ISH Fair Use policy. Please see the Student Handbook for full details. Excessive usage may result in your service being restricted or cancelled.
Returning residents
30. Residents of ISH are fully encouraged to participate in the social life of the House. Students considering reapplying to the Dean of Students are reminded that their application will be considered in relation to their involvement in House activities and programmes.
31. All returning Residents will be expected to assist in the ‘Meet & Greet’ programme for new residents.
General behaviour
32. International Students House staff and residents are entitled to work in a safe environment without the fear of verbal abuse or physical attack. International Students House will not hesitate to prosecute any guest or visitor who threatens our staff or customers.
33. Residents must refrain from any behaviour on the premises likely to bring ISH into disrepute or cause any discomfort to other residents or members of staff.
34. Any resident who is engaged in inappropriate behaviour or who is in violation of ISH rules and regulations will face disciplinary action from the Dean or his designee. This may include financial penalties, loss of privileges or dismissal from ISH. A copy of the rules and procedures are in the Student Handbook. If you do not have a copy and would like one, please collect a copy from the reception desk at GPS.
35. The Duty Manager, Warden or other nominated employee shall have the right of entry to any room at all times to ensure compliance by students of house rules. This would only occur if they believed they have reasonable grounds to believe that house rules are not being complied with. A copy of the House rules can be found in the Student Handbook, which is located on the ISH Events website.
36. Term Dates (as applicable each year)
