Reporting Maintenance

Details of how to report maintenance items in your room.

On-line Maintenance and Repairs Request system

We have now introduced a new system for ISH residents living in Great Portland Street, Mary Trevelyan Hall, Wills House, Blain House and any of our other residences to be able to report any minor repair items to their room via the ISH web portal.

The new system makes the tracking and carrying out of repairs much more efficient and it makes the monitoring of repair progress better for the Resident and for the management team.

To enter a repair, the procedure is very simple and can be done in a matter of minutes. All residents should have a user name and password. If you made your original application for accommodation via our website then the email address and password you used then should be used to access the ISH Portal and the maintenance section. If you do not know your password, simply open a web browser as normal and enter www.ishportal.org.uk and then click the picture to enter the portal.

Then enter your email address as the user name and click “Forgot Password” and your password will be sent to you.

If you do not have a password set up on the system please contact the Accommodation office by email on accomm@ish.org.uk stating your name and room number. A temporary password will be sent to you to use. Please note, we can only set up a password if we receive a request by email.

Reporting maintenance

1. To report maintenance, log onto the ISH portal with your user name and your password. You can select the tick box if you want to save your log on details. Then click “log in” to continue.

2. Once you have logged in the next screen will show you Maintenance Requests:

3. Click the link to enter the Maintenance Section:

4. To report a requirement for your room select “New Job”

Then in the Category/ Item drop down, select the closest job description that fits your repair. You can then fill in additional information in the “Description” box.

If you want to specify a time to do the repair, for example when you are out, then enter a time in the comments box and tick the box that confirms that you agree to one of the maintenance staff being in your room if you are out. If you do not agree to a member of staff being in your room whilst you are out, your job may be significantly delayed. Please note that all jobs will prioritised depending upon how important they are and so we cannot guarantee that we can attend at the time you have specified.

Please report different repairs on seperate jobs.

5. If you want to check the status of the repair that you reported, please log back onto the portal and then click upon the job you have reported. Any extra details will then be displayed including a status which may show that the repair is delayed or completed.

Common area maintenance.

At this time, the common area maintenance section is not in operation. Once we have finished testing this feature it will become available and you will be able to report repair items close to your room.
